The smart CRM: when a CRM becomes a system integrator
A CRM was built to store data. A smart CRM is built to work.
This is a story we wanted to tell. What is a smart CRM? First, what is a CRM?
A CRM is a Customer Relationship Manager — software that helps you track your prospects and your clients. CRMs have always been pretty static. You enter all the information by hand, you can set up some kind of automation that reminds you to take action on a client, but at the end of the day it is extremely time-consuming and cumbersome. And most of the time, CRMs tend to rot and stop being used.
That was our experience — until we built the Smart CRM of Ippocra. What is it? A special flavor of CRM, entirely driven by our local LLM. There we don’t just store the name of a possible client: we track every interaction we have with that prospect, we research that client online, the AI proposes the best sales strategy to engage them, and it builds the dedicated artifacts that make the deal real — presentations, proposals, images, videos. All stored right there, in the CRM, next to the contact’s history.
And all of this is possible without a cloud LLM — it runs on dedicated hardware, with our data kept safe.
Because that is the point: a CRM that is not a database you feed, but the hub of an entire sales system.
Why classic CRMs rot
A classic CRM asks you to pay a tax: for every piece of information it will ever be useful with, you must first type it by hand. A meeting becomes notes. An email becomes a field. A research you did on the client’s website becomes a copy-paste.
That tax is what kills the CRM. The data goes stale, the stale data loses trust, and people start keeping the real state of the business in their head, in their inbox, and in the notes app. The CRM becomes a museum of abandoned records.
The problem was never the concept of centralizing your clients. The problem was that the centralization was manual — and manual centralization always loses to the day-to-day.
The idea: the CRM as a system integrator
What if the CRM was not the place where you record the work, but the place where the work happens?
That is the idea behind the Smart CRM of Ippocra. It is a system integrator: it connects four areas that usually live in four different tools — or in the head of the person doing the sales — and makes them one continuous flow.
- The record. The contact card and the timeline of every interaction. What was said, when, and what was promised.
- The research. The AI looks up the company and the people online: what they do, who the internal contacts are, what is publicly known about them.
- The strategy. Based on the record and the research, the AI proposes how to engage the prospect: the right approach, the right next step, the right moment for a follow-up.
- The artifacts. The things that actually move the deal forward — a dedicated proposal, a custom presentation, images, a video — generated for that specific client, stored next to the client.
The “smart” part is that the four areas feed each other. Research updates the contact card. The contact card informs the strategy. The strategy produces the artifact. The artifact’s result goes back into the timeline. In a classic CRM only the first box exists, and you copy everything else by hand from your email, your notes, and your head.
A real example: from a WhatsApp message to a proposal
Let’s make it concrete. A few months ago, a contact from a mid-size manufacturing company wrote to us on WhatsApp asking for a proposal for a base ILAI installation.
Here is what happened in the CRM, step by step:
- The record. The contact was created with the person’s role, the company’s full details (address, VAT number), and the other internal contacts we knew about. The request was logged the same day, with the exact scope asked for.
- The research. The company’s public data was gathered and attached to the contact card — so that whoever works on the account, later, has the full picture without searching again.
- The proposal. A dedicated ILAI proposal was generated from the CRM’s proposal system, and sent to the main contact and the other internal references.
- The pause. With the summer break the project was put on hold, and the Smart CRM of Ippocra logged it — and set the next step: resume the conversation in September.
That last point is what a classic CRM cannot do. A classic CRM stores that the proposal was sent. It cannot store why the project is paused, what the next step is, and when it happens — because that information never existed anywhere except in the head of the person who knew.
In the Smart CRM of Ippocra, the state of the deal is written down the moment it changes, in the same place where the proposal, the research, and the strategy live. The CRM is the system of record and the system of execution.
The dedicated artifacts: proposals and presentations, generated per client
The fourth area is the one that surprises people the most.
When the Smart CRM of Ippocra needs a proposal for a client, it is not a template you fill in. The proposal is generated from the client’s own record: the scope discussed, the price, the phases, the company’s details. It is a real PDF, with the Ippocra branding, stored in the client’s folder — one file per version, never overwritten.
The same goes for presentations. For a specific prospect, the CRM holds a dedicated deck built for that conversation — not a generic company pitch, but a presentation shaped around what that client actually cares about.
The artifacts are not “extra content” you make after the CRM work is done. They are part of the CRM work: they are produced there, stored there, and versioned there. That is what it means for the CRM to integrate the entire sales cycle.
Why local: the data is the point
All of this — the interactions, the research, the strategy, the proposals, the pricing — is sensitive. It is the most confidential layer of a business: who you are talking to, what you offered, what they paid, why a deal paused or closed.
With a cloud AI, that data would have to leave your infrastructure to be processed. With a local LLM, it doesn’t. Everything runs on dedicated hardware, with our data kept safe.
This is the same logic that is behind ILAI as a product: data ownership is not a feature, it is the foundation. And the Smart CRM of Ippocra is the proof that this foundation can hold up the entire sales operation — not just a chatbot.
What this means for other companies
We do not sell the Smart CRM of Ippocra as a product. We built it for ourselves, to run our own sales, and it works well enough that we are telling you about it.
But the pattern is not specific to us. Any company that sells — B2B, B2C, professional services — has the same four areas: the record, the research, the strategy, the artifacts. And any of them can become a hub instead of a database, with a local LLM doing the connecting work.
If you want to understand what this kind of system looks like in your own business, let’s talk. Every company has different processes, and every smart CRM is built around them.
Frequently Asked Questions
What is a smart CRM?
A smart CRM is a CRM that is not only a database of contacts, but the hub of the entire sales process: it records interactions, researches the client, proposes the sales strategy, and generates the artifacts (proposals, presentations, images, videos) that move the deal forward. All of it is driven by an AI that works on the CRM’s own data.
How is the Smart CRM of Ippocra different from a classic CRM?
A classic CRM stores data you enter by hand and can remind you of actions. The Smart CRM of Ippocra is driven by a local LLM: it tracks every interaction automatically, researches the client online, proposes the best engagement strategy, and builds dedicated proposals and presentations — all stored in the same place, next to the contact’s history.
What does “driven by a local LLM” mean in practice?
It means the AI runs on your own infrastructure, not on a remote cloud. Your data — including sensitive information like pricing, negotiation state, and client details — never leaves your environment. Costs are fixed and predictable, with no per-token bill.
Can the CRM generate real documents, like proposals and presentations?
Yes. The Smart CRM of Ippocra generates branded PDF proposals from the client’s own record (scope, price, phases, company details), and holds dedicated presentations built for specific prospects. Each artifact is versioned and stored in the client’s folder.
Is the Smart CRM of Ippocra a product you can buy?
No. We built it for our own sales process. But the pattern — record, research, strategy, artifacts, all connected by a local LLM — can be applied to any company that sells. We can help you design what this would look like in your context.
How does this relate to ILAI?
ILAI is the product: a local artificial intelligence that runs on your infrastructure. The Smart CRM of Ippocra is one of the ways we use ILAI internally — as the hub of our entire sales system. It is the same foundation: data ownership, predictable costs, an AI that works on your context instead of a generic model.
